Enter the full address of the property including postcode. If the property has a name, for example Highfield House, enter this in the property name field. The property name field is optional!
From the property type tab, simply select the property type from the pre-listed index. The property types are grouped for ease of selection.
Simply enter the amounts into the required fields. If an additional deposit amount is entered just tap on the total deposit field and this will automatically add up the deposit and additional deposit.
Selecting managed or unmanaged on the app. By selecting managed, this will create all the notifications to both landlords and tenants, an unmanaged property refers to a let only type contract and will therefore only send the initial check in report to both tenants and landlords.
Tap on the date field and select the check in date for the property. This date will render on both the html and PDF reports.
The elevation pictures you take will render on the report, with this in mind keep your device steady when taking the image as you want it to look great.
After you save the details so far, click locate property. This will open google maps and place a pin in your current location if working online through a 3G network. If you are working offline the system will use the address to locate an approximate position of the property. Bear in mind this will only place the pin at the centre of the postcode so some fine adjustments may be required when you login to web based user interface.
After you have entered the basic details of the property, including capturing all your elevation images, just click the save button.
Click select landlords, this will open the landlord information fields. Complete all the information required and remember all details must be accurate in order that the automatic report system works effectively. You can add multiple landlords by selecting save and add another.
Click select tenant, this will open the tenant information fields. Complete all the information required and remember all details must be accurate in order that the automatic report system works effectively. You can add multiple tenants by selecting save and add another. The first tenant you enter will be the lead tenant on the report and will receive all the notifications.
Select utilities on the app and enter all the metre readings for the property, including, images and locations of the metres.
Select smoke detectors on the app and using the indexing list of conditions and locations make your selection. You can take images here too!
Select key exchange on the app, click add key type and choose a key type from the index and use the slider to denote the number of keys. Here you can also capture images of the keys and add new key types.
Select external surface types on the app, and from the index select the surface type you need. From here you can also add further surface types and locations to the index. Capture an image and if required add text annotations to the picture you have just taken by simply double tapping the image. The annotation box can be moved anywhere on the image to highlight the area required.

Select rooms on the app, you will now be presented with a complete list of room types. Select all the room types within the property from the room index list and when complete select save and continue. If you make any mistakes, donât worry just select edit and either un-tick from your selection or add further rooms, again save and continue. For speed in the rooms index, we have also placed the rooms in the logical order that you would walk around the property, this allows fast selection and navigation of the index. Remember you can add property types to the index from this area too.
With all your rooms now added you can now start to add items to the rooms. Select a room from the list you have created and you will now be presented with a complete list of items in the index. It should be noted; we have associated room items with the type of room you have selected, for example a bedroom will only have items that relate to a bedroom and a kitchen will only have items that relate to a kitchen, so you will not have any none related room items which in turn makes the index shorter and easier to navigate. Select all the items you require from the index or add your own room items and associated conditions if required. When you have made your selection of items for that room click save and continue.
Now that you have added all the items to your room selections, itâs just a case of adding the conditions of the various items you have selected within the rooms. You will now see a list of all your rooms with a greyed out tick, this tick indicates that you have yet to comment on the condition of an item, and will turn green when you have made your condition selection for all the items within this room. Select a room from your list and you will now be presented with a list of all the items contained within this room, first click on the general cleanliness tab this allows you to comment on the overall general cleanliness of the room. Once you have selected from the general cleanliness index, this will save your selection and return you automatically to the list of items. Click on the first item within your list and you will be taken to a screen with various options. Select item type, this will take you to all the variants of the item, for example your item is a chair and the type could be leather or fabric and so on. Now that you have selected your item type click the selection button. Here you will be presented with another index of all the various conditions, just select the appropriate condition and you will be bounced back to the previous page with your selection saved.
Use the quantity slider to denote the number of items, for example you have selected a dining chair item, now just use the slider to increase of decrease the number to the left of the slider. This number will render on the completed report as item quantity.
From the same screen now select the damages tab. Here you will be presented with another index of possible damage types. If there is no damage to the item simply select no damage, if there is damage to the item select a damage type from the same index list and again this will be saved and you will be returned to the previous page. The damage type feature is very useful for the interim and check reports, as any changes to an item are flagged in the reports generated to the landlord and you can insert any associated damage repair cost when known.
On the same screen click the camera icon, this will open the camera on your device. Capture the image of the item and click use, a pop up will now ask whether you wish to create an annotation on the actual image. If you select yes, just tap the screen once, this action will now place an annotation box on the image. Move the annotation box to the area you wish to highlight, and then double tap the box. You can now type your comment within the box, click save and the text will be added to the image on precisely the area you have chosen to highlight. If you do not wish to create an image annotation select no.
On the same screen select the colour button and here you can match exactly the colour of anything using the base colour and opacity sliders. When you have the colour just right select choose colour and you will be returned to the previous page. The selected colour will render on the completed report and will also show on the app as your selection. If you need to change this simply reselect another colour and this will overwrite the previous selection.
The wood finish palette allows you to select from a common palette of wood finishes and places an image of your selection on the report. We incorporated this into the application because wood finishes are common in flooring, fitted furniture, windows and many other items that are found in most property. Select palette and you will be presented with the wood palette selector, just select the wood type and your selection will be saved. Again after selection you will be returned automatically to the previous page.
Select add room item for example table then add a type i.e. dining table, coffee table or a bedside table. This function of adding items, conditions can be managed either from your device or on your personal agency dashboard. Initially itâs probably a good idea to get everything set up on your dashboard.
Conditions are always related to associated items and are added when you add an item. For example you have added a dining table to the items list; you will then proceed to add a type for this item. Select type i.e. hardwood and then add a condition for this item i.e. New, Good Condition and so on. The function of adding items, conditions can be managed either from your device or on your personal agency dashboard. Initially itâs probably a good idea to get everything set up on your dashboard.
On the same page simply tap in the comment field and your device keyboard will pop up. Enter your comment with respect to the item and move on to the next field landlord recommendations.
Landlord recommendations are shown when your client logs into to view either the initial inventory, interim or check out reports through our âLandlord Connectâ reporting area. These recommendations are also absent from the PDF report when you choose to print this for signing by the tenant. These recommendations are not visible to tenants at any stage only to the landlord. Landlord recommendations allow you to bring property related matters to the attention of your client and form part of the automated reporting process. For example you may wish to inform your client that at some in the near future an item may need replacing due to it being worn, and could potentially prove an obstacle when you eventually come to remarket the property. Should you make a recommendation of a more serious nature, for example the roof is leaking and is causing internal damage, this will be reported immediately the moment you submit the report on the app. These details are recorded in the system and will mitigate you of any liability should your client fail to act on your findings. Your client can also respond to your recommendations through our system, these responses are flagged for your attention via an email and a notification is placed in your dashboard.
By selecting the pet tab, you define whether pets are allowed, not allowed or have been later introduced into the property by a tenant. The selection of pets ânot allowedâ will place clear text in the report stating the same. Should your client wish to allow a certain type of pet, this can be specified as allowed with the appropriate animal selection and again the details of which will render in the report. If you were to find at the interim inspection that a tenant had in fact introduced an animal to the property without consent, this can be reported by selecting âpets introducedâ. Should the tenant introduce an animal and damage is caused as a direct result, you can fully document your findings and take pictures along with annotations to identify the damage.
Should you need to report a repair at the property, simply select repair and enter the details in the comments field. Here you can also take pictures of the repair and add annotations should you need to.
When you revisit the property to carry out an interim inspection, your tenant may have introduced unauthorised tenants into the property. Should this be the case you can report this on the app by selecting multiple occupants. To do this, select multiple occupants on the app and this will take you to the screen where can enter all the details.

The app synchronises as you add data, if connectivity is low the app will slow down the process of synchronisation. Should this occur, switch your device to airplane mode and the app will function at lightening speed. When you have good connectivity simply switch of airplane mode and hit the sync button, this will then sync all your data to our servers. Alternatively you can sync through your own wifi network when you return to the office.
No you donât need to subscribe to a data contract, you simply work off line and sync all you data through your wifi network when you return to your office.
No there is no image upload limit, we would prefer you take as many images as necessary to support your report. Donât forget you can add annotations to the actual image too!
Mimo is available on both Apple & Android devices.
This really depends on the size of the report. As you know the reports can vary enormously depending on the size of property, and whether it is furnished or unfurnished. We would recommend monitoring your data usage and should your current data package be insufficient simply switch on Airplane mode and sync when you return to the office, alternatively switch to a higher data package.

Yes all the images that you capture are time stamped
Yes you can add/edit and totally customise the index to suit your needs. The great thing about our indexing is that you can associate items with rooms, for example, + Bedroom + Item to Bedroom + Condition to Item. We have implemented this function so you are not endlessly scrolling down a list trying to find an item and subsequent condition. So for example when you select a Bedroom and select add item, all you will see are items that relate to that room i.e. Double Bed, Bedside Cabinet. This makes the list short and snappy, so selection is fast.
Yes you can. Any thing you add in offline mode will automatically sync to the servers when you connect to you wifi network. You will see all the newly added items on your user interface.
Itâs really down to personal choice; however we would recommend the Ipad, Iphone or any good quality Android tablet. We will be bringing in voice recognition when apple release the siri api, this will give superb talk to text functionality, so with this in mind it may be worth looking at the Apple range.
At the present time no. The reason being is that all the current providers of talk to type technology are not up to scratch. We have tried the best of the bunch, for example Dragon Dictate, but the results are not that good and this makes the process frustrating for the user. Regional dialects and ambient back ground noise make this particular platform unusable. However when Apple release Siri as an API, hopefully soon; we will be implementing this technology into mimo.

You agree to indemnify and hold mimo (a trading style of ifaqs limited), its subsidiaries, affiliates, officers, agents, employees, advertisers and partners harmless from and against any and all claims, liabilities, damages (actual and consequential), losses and expenses (including legal and other professional fees) (collectively "Liabilities") arising from or in any way related to any third party claims relating to your use of any of the Service and/or your provision of any Content, or any violation of these Terms of Service by you or any other actions connected with your use of the Service (including all actions taken under your account). In the event of such claim, or Liabilities we will provide notice of the claim, or Liabilities suit or action to the contact information we have for the account, provided that any failure to deliver such notice to you shall not eliminate or reduce your indemnification obligation hereunder.
